PINE for Organizers provides its users with a set of tools for event management that enables Organizers to create Events in a branded Event Application for Attendees (“Services”). Creating an Event in PINE means designing the customized tool for the Attendees’ PINE App (available in App Store and Google Play), using which they will be able to:
- see the schedule and map of your Event,
- get acquainted, communicate and meet other Attendees,
- share content and ideas,
- receive push notifications from you,
- participate in live polling and session rating, and
- use other features as set by you in your Organizer’s tool.
The scope of PINE Services rendered to the Organizers may vary depending on the latter’s choice of features made for a particular Event.
Upon creation of your Account you can proceed to creating your Event or request a personalized demo to get access to the range of PINE Services as described below, save for the possibility to post the Event for the Attendees, interact with the Attendees and use Add-ons. The demo is not subject to any Service Fees. The Event created in demo will not be accessible or visible to anyone except you and the Invited Members.
PINE Events, Inc. does not participate in creation, organization or hosting of any events and does not sell any tickets to such events, unless it is expressly stated otherwise in the description of an Event.
To create an Event you need to enter its details, including its title, description, date, location etc. You understand that you are solely responsible for the accuracy, correctness and reliability of such Event details and we are not obliged to review any information provided by you and handle any user requests to that effect. PINE also enables the Organizers to customize their Events by uploading covers, logos, images and other content, subject to section “Content and intellectual property rights” hereof.
The Organizers may invite the Attendees to the Events by:
- uploading the Attendees’ personal data to the “Attendees” section of PINE tool, thereby the added Attendees will receive notifications to the indicated contact details inviting them to download PINE Application;
- sharing with Attendees the event code or QR code using which they will be able to find the Event in PINE Application;
- sending invitations to Attendees’ contact details with “magic” links to access the Event or download PINE Application through App Store or Google Play.
As soon as the Attendee registers with PINE for your Event other Attendees will be able to acknowledge each other’s profile information, unless you enable the Attendees to use the “Incognito Mode” making the Attendee’s profile unavailable for other users.
You can import all the personal data of the Attendees having regard to our Privacy Notice for the Organizers.
Adding sessions, Event Map and profiles of speakers and exhibitors
The Organizer can create for the Attendees a schedule of sessions indicating its date, time, location, description, the speakers involved, attach files with additional information on such sessions and speakers, as well as the Event Map disclosing the location of participating exhibitors. Therefore, the Organizers are responsible for creating the profiles of speakers and exhibitors based on the information exchanged between them and the Organizers. You represent and warrant that you have received all necessary permissions and licenses to distribute such information and content, including any personal data contained therein.
Content and communication with Attendees
The PINE tool enables the Organizers and the Attendees to interact with each other by posting messages in Activity Stream, making Announcements through the push notifications and delivering information to the Attendees’ emails or through PINE messenger. Please note that your content sharing and communication shall be subject to the “Content and intellectual property rights” and “Electronic communications” sections of these terms.
The Organizers can use the PINE tool to give the Attendees the opportunity to connect and network with each other by setting up meetings during the Event. The Attendees will have access to the convenient schedule of meetings at locations created by you in PINE tool, whereas the Organizer will be able to collect the statistics of Attendees interaction, including the number of requested, pending, confirmed and declined meetings.
PINE Analytics module enables the Organizers to measure the Attendees engagement, by using the real-time event reporting dashboard that provides insightful metrics to help the Organizers gauge event performance and see how you are tracking against your key benchmarks. The metrics may include the number of Attendees, the arranged and confirmed meetings, the created and shared cards, the rates of sessions etc. PINE Events Inc. is not responsible for your decisions based on Analytics results and how you use it.
Although the Organizers cannot sell tickets through PINE, you can connect the ticketing services as offered in “Ticketing” section of PINE tool or such other custom ticketing service in accordance with the given instructions. Please be aware that as soon as you connect such third-party services, you and the Attendees of your Events are subject to the Terms of Service, Privacy Policies and other policies of such third-party service providers. PINE Events, Inc. is not responsible for any transactions or personal data processed in connection with such third-party services.
Some features of PINE are made available for you subject to additional payment (as described in “Service Fees”):
- Sponsor ads: enables the Organizer to maximize the revenue from your Event by using ad space and collect the engagement data on how the Attendees interact with sponsored banners. Based on the Organizer’s separate agreements with sponsors, you can create interactive sponsor profiles, advertisements and fun splash screens which appear in the Attendees’ PINE Application. You represent and warrant that you have received all necessary permissions and licenses from the sponsors to distribute such content, including any personal data contained therein.
Creating an Organizer’s Account and using demo is free of charge, however, PINE Events Inc. charges Organizers for its Services (the “Service Fees”) per one Event.
Upon creating an Event in PINE tool to make it available to the Attendees in PINE Application you will be charged for PINE Services with a fee of $799 (United States dollars) as indicated in “Billing” section of PINE tool.
For using Add-ons for your Event you will be additionally charged with:
- $1000 for five sponsor profiles and $199 (United States dollars) for each additional sponsor profile, in case you use “Sponsor ads” feature.
Please note, if your local currency is different from the currency in which the prices are quoted, your bank will apply the exchange rate applicable per the date of purchase, which is beyond our control.
All Service Fees are exclusive of all taxes, levies, or duties imposed by taxing authorities, and you shall be responsible for payment of all such taxes, levies, or duties, excluding only United States (federal or state) taxes on PINE Events Inc. income.
Any Service Fees paid to PINE Events, Inc. by the Organizer are not subject to return or refund, unless otherwise agreed in writing.
PINE Events, Inc. reserves the right to change the Service Fees at any time, subject to providing users with adequate notice of any fee changes before they become effective. Your continued use of the Services after the effective date of such change will constitute your agreement to pay the updated Service Fees.
The amount of charged fees may also vary pursuant to separate written agreements between PINE Events, Inc. and particular Organizers prevailing these Terms.
