PINE Events Inc. ("PINE", "the Company", "we", "us", or "our"), owner and operator of the website pine.events (referred to hereinafter as "the Platform"), is committed to protecting your privacy and the Personal Data (defined below) that you share while using the Platform.
PINE is a digital event technology Platform that allows Organizers to create and manage Events and connect with Attendees in order to provide Services through the Platform.
The purpose of this Privacy Policy is to outline the ways in which the Company collects, receives, stores, discloses, transfers, and otherwise processes your Personal Data when you use the Platform. Please note that this Privacy Policy does not apply to any information that you provide to or that is collected by any Third Party Service Providers or any Third Party Sites that you access or use in connection with the services offered on the Platform.
It is important that you carefully read this Privacy Policy before using or registering on the Platform, accessing any content, or availing any Services through the Platform. By visiting the Platform, setting up or creating an Account on the Platform to access the Services, and clicking the "I accept" button, you accept and agree to be bound by the terms and conditions of this Privacy Policy and give your consent to the Company collecting, storing, processing, transferring, sharing, and using your information, including your Personal Data, as outlined in this Privacy Policy. Please note that the term "You" in this Privacy Policy refers to both Organizers and Attendees individually and collectively, as applicable.
If you are an Organizer accessing the Platform as a representative of a legal entity or organization, you must (i) confirm that you have the full authority to represent the legal entity and have the power to bind them, and (ii) understand that by accepting this Privacy Policy, it will apply to and bind all other individuals co-organizing an event and accessing or using the Platform and Services on behalf of the same legal entity or organization.
1. Privacy practice statement: Use of Personal Data
Pursuant to our privacy practice statement, we do not engage in the sale of personal data collected from you. Rather, we utilize such personal data solely for the purpose of providing our services to you, addressing your requests, processing payment for said services, maintaining communication with you in relation to the services, and upholding and customizing your account with us. Furthermore, the use of your personal data serves to enhance your overall experience on our platform.
2. How we collect Personal Data
In accordance with our privacy practices, 'Personal Data' refers to any information that can be used to identify an individual, either directly or indirectly. This may include information referred to as 'personally identifiable information' or 'personal information' under relevant data privacy laws and regulations. Personal Data does not include anonymous or de-identified data, and this Privacy Policy does not apply to such data.
We collect Personal Data from you through a variety of methods, including information you voluntarily provide to us during the account creation process, such as when you create an Account with Us, subscribe to our Services, participate in an Event, provide Payment Details, or provide feedback or contact us. Additionally, certain Personal Data about you may be automatically collected by our systems when you use our Services or visit our Platform through the use of cookies, third-party tools, server logs, and other similar technologies.
3. What Data we collect about you
In the course of providing our Services to you, PINE may collect a variety of Personal Data. This may include identification data such as your name, contact information, and professional or organizational affiliations, as well as your profile picture. PINE may also collect transactional data related to your Payments and use of our products and Services. This data is processed by third-party service providers and stored securely by them, while we do not store card details on our servers.
PINE may also collect automated data such as IP addresses, browser and device information, and website usage data. This data is collected through the use of tracking technologies such as cookies and server logs. In addition, we may collect Account data, user communications, and posts, including your username and encrypted password, Event attendance and engagement data, communication preferences, and any correspondence, reviews, or feedback you provide. This data is used to facilitate and enhance your use of our Platform and Services.
4. How we use the collected data
We collect Personal Data in order to provide you with a secure, efficient, and personalized experience on our Platform. This data is used to create and manage your Account, facilitate the provision of our services, understand your preferences, and customize your experience on our Platform. It may also be used to communicate with you about our Services, provide support and assistance, process transactions, respond to inquiries and requests, and perform data analysis.
In order to provide our Services, we may share your personal data with third-party service providers. We may also use your personal data to protect against fraudulent or harmful actions, comply with legal or contractual obligations, and enforce our terms and policies.
If you are an Organizer, we may also use your Personal Data to send you promotional emails and for external marketing and promotional purposes. You have the right to opt-out of receiving promotional emails by contacting us at support@pine.events.
We will not use your Personal Data for materially different, unrelated, or incompatible purposes without your express consent. If you do not wish to receive communications from us, you may opt-out of receiving non-transactional communications by contacting us at support@pine.events. However, you will not be able to opt-out of receiving administrative messages or customer service responses.
5. Disclosure of Personal Data
In order to provide our Services, we may share your Personal Data with third-party vendors and service providers, including payment processors and gateways. These third-party service providers are contractually obligated to keep your Personal Data confidential and to use it only for the purposes for which we disclose it to them.
If you are an Attendee, we may share your name, contact information, professional affiliations, and other relevant information with the Organizer of the Event you wish to attend. We may also share data related to your participation in an Event with the host, including the number of Attendees who attended, the number of visits to a booth in the virtual expo, and the number of new and repeat registrants for the Event. Please note that we are not responsible for the treatment of this information by the Organizer.
Any Event Content or Personal Data that you share or upload during an Event, or that you share through the use of interactive features on our Platform, such as turning on your video or audio, sending messages or chats, or sharing Content, may be viewed by other users participating in that Event.
In some circumstances, we may be required to disclose your Personal Data if required by law or if we believe in good faith that such disclosure is necessary to comply with legal obligations, protect and defend our legal rights and property, or protect the safety of our Company, employees, users, or others. In such cases, we are not required to seek your approval or consent.
We may share aggregated, anonymized information about you with third parties either through our Platform or otherwise. We may also provide platform-level recommendations on matters relating to our Services and Organizers. These recommendations may be conducted by us or any third-party service providers engaged by us on our behalf.
We may also disclose or transfer your information (personal or otherwise) to third parties in the event that we sell, transfer, merge, or divest all or a portion of our business or assets, or in connection with any financing, acquisition, bankruptcy, dissolution, transaction, or proceeding. Alternatively, we may seek to acquire other businesses or merge with them. In such cases, the third party will be contractually bound to comply with the terms of this Privacy Policy with respect to any Personal Data disclosed to them.
We may store your Personal Data at data centers or servers located in jurisdictions other than where you reside. By using our Platform or providing Personal Data for any of the purposes stated in this Privacy Policy, you consent to the transfer and storage of your Personal Data in these third-party jurisdictions.
We may retain your Personal Data for as long as necessary to fulfill the purposes for which it was collected, or as required by law. When your Personal Data is no longer needed for these purposes, we will destroy or de-identify it in a secure manner.

We will only disclose such Personal Data in accordance with applicable laws and regulations and will take steps to ensure that your Personal Data is treated in accordance with this Privacy Policy.

We take reasonable steps to protect your Personal Data and your privacy rights, in order to prevent loss, misuse, unauthorized access, disclosure, alteration, or destruction of such information, in compliance with applicable laws. These measures include technical and organizational safeguards that are appropriate to the level of risk presented by the processing of your Personal Data. We only collect and process the Personal Data that is necessary for the specific purposes of processing.
When payment details and other payment card information are transmitted on or through our Platform, they are protected by encryption technology. You consent to the collection and sharing of your Personal Data, including payment and payment card information, with third-party service providers in order to process payments and manage payment card information. We do not store your payment or payment card information ourselves, and we do not have direct control over or responsibility for this information. We take reasonable measures to protect the transmission of your payment and payment card information and ensure that it is secure. However, we cannot be held responsible for the disclosure of your Personal Data due to errors in transmission, unauthorized third-party access, or other causes beyond our reasonable control.
You also have a role in keeping your Personal Data secure. You should not share your username, password, or other security information for your Account with anyone.
7. Transparency and Consent
You acknowledge that any information you provide is given willingly and without coercion. We are not responsible for verifying the accuracy or authenticity of the information you provide, nor will we be held liable for any misrepresentation or fraud on your part.
You are responsible for ensuring that the Account information you provide is complete, accurate, and up-to-date. If you provide any false, inaccurate, outdated, or incomplete information, or if we have reasonable grounds to suspect that such information is false, inaccurate, outdated, or incomplete, we reserve the right to suspend or terminate your Account, and to refuse any and all current or future use of our Platform and/or Services, in addition to any legal or equitable remedies we may have against you for such misrepresentation.
8. Withdrawal of Consent
You have the right to withdraw your consent to this Privacy Policy at any time by providing written notice to support@pine.events. If you choose not to provide your consent or later withdraw your consent, we ask that you do not access our Platform, Content, or use our Services. We reserve the right to refuse to provide you with any of our Services or Content on the Platform in such cases. In such situations, we may delete or de-identify your information in order to make it anonymous and not attributable to you.
9. Right to Erasure
You have the right to request the deletion or removal of your personal information, also known as the "right to be forgotten," by contacting us at support@pine.events. Please note that this is not an absolute right and there are exceptions, such as when the law requires us to retain certain personal information about you or when such retention is necessary for us to provide our Services to you.
10. Public Posts
You may provide feedback, reviews, testimonials, and other posts on the Platform regarding your use of the Services provided by the Company (collectively referred to as "Posts"). Any Content or Personal Data (such as your name, designation, and the name of your organization) that you share or upload on the publicly viewable portion of the Platform (such as activity stream, messages and chat areas, etc.) will be publicly available and can be viewed by other users and/or visitors on the Platform. Your Posts must comply with the conditions outlined in the terms and conditions governing their use on the Platform. The Company reserves the right to remove or delete any Post or part of a Post that it determines, in its sole discretion, does not comply with these conditions. The Company also reserves the right to use, reproduce, and share your Posts for any purpose and in any manner as it sees fit. Please note that even if you delete your Posts from the Platform, copies of such Posts may remain viewable in archived pages or may have been copied or stored by other users.
11. Links to Third Party Sites and Collection of Information
Our Platform may provide links to third-party websites or platforms (referred to as "Third Party Sites"). Please be aware that these Third Party Sites may collect your Personal Data, such as your IP address, browser specifications, or operating system. The company is not responsible for the security of this information or the privacy practices or content of these Third Party Sites. You may also encounter "cookies" or similar technologies on certain pages of these Third Party Sites. Please note that the Platform does not control the use of cookies by these Third Party Sites. These Third Party Sites may have their own privacy policies governing the storage, processing, and retention of your information. This Privacy Policy does not apply to any information provided to, stored on, or used by these Third Party Sites. We recommend that you review the privacy policy of any Third Party Site you visit to ensure that your information is safeguarded.
If you are an Organizer, certain Third Party Service Providers may require you to comply with additional requirements for processing payments, including fulfilling know-your-customer requirements. This may involve or require you to directly provide these Third Party Service Providers with certain Personal Data as required for this purpose. Please note that the treatment (including storage, processing, and retention) of any additional Personal Data shared by you with these Third Party Service Providers will be governed by the privacy policies of these Third Party Service Providers and not by this Privacy Policy.
12. Sharing of Information by Attendees with Organizers
During an Event organized by an Organizer, the Organizer may request certain information from Attendees in addition to the information obtained through the Platform. This may include special categories of information, such as data revealing racial or ethnic origin, political opinions, religious or philosophical beliefs, or trade union membership, and the processing of genetic data, biometric data for the purpose of uniquely identifying a person, data concerning health, or data concerning a person's sex life or sexual orientation (collectively referred to as "Sensitive Information"). Please note that any Sensitive Information shared by an Attendee with an Organizer is being provided directly by the Attendee to the Organizer and the Company and/or Platform is not involved in this sharing of information. By sharing this Sensitive Information with the Organizer, you consent to doing so willingly. The Company shall not be responsible for or liable for the use, misuse, or treatment of such Sensitive Information and this Privacy Policy does not govern any Sensitive Information shared by an Attendee with an Organizer.
If you are an Attendee and/or an Organizer, you agree that you are solely responsible for Event content displayed or uploaded by you when using the Services and for complying with all applicable laws pertaining to such Event Content, including, but not limited to, laws requiring you to obtain consent or permission from any third party to use any such content or portion thereof, and to provide appropriate notices of third party rights, including in respect of any name, identity, likeness, or voice submitted by you during an Event. You further represent and warrant that you have the right to upload or share such Event Content and that such use or reproduction does not violate or infringe on any rights of any third party, including intellectual property rights.
The Organizer of an Event has the right to use the Event Content of the relevant Event in any manner they see fit. If you are an Attendee, you grant the Organizer of the relevant Event the right to record, use, reproduce, download, distribute, adapt, publish, display (including recording thereof) globally, any Content submitted, displayed, posted, or communicated by you while participating in that Event, forming part of the Event Content, in any manner and form as may be determined by the Organizer. If you do not wish to provide this right to the Organizer, you may refrain from using the Platform and/or any Services provided therein.
If you are an Organizer, you consent to and authorize PINE to record all Events hosted by you by default, unless you disable the feature of recording available on the Platform. If you do not wish for an Event to be recorded, you should disable the recording feature immediately when you start or during the Event. Accordingly, the relevant Event for which the recording feature was disabled will not be recorded thereafter. The Organizer may also instruct PINE to delete copies of any previously recorded Event organized by them at any time. Upon receipt of such instruction from the Organizer, PINE shall promptly delete all recordings of the relevant Event in its possession.
13. Cookies
The Platform uses cookies to collect information about you when you visit the website, unless you adjust your cookie settings to opt out of this collection by clicking on the "Cookie Icon" at the bottom left of the website. These cookies may include necessary, marketing, analytics, and tracking cookies, and may be used to collect information such as your location, internet protocol, device information, browser type, internet service provider, and browsing patterns. The Platform uses this information to analyze trends, improve and customize our Services, and provide Content for you.
You have the option to block all cookies, including those associated with our Services, or to be notified when a cookie is being set by us through your browser settings. However, please be aware that some of our Services may not function properly if you disable cookies.

14. Data Retention
The information that you provide to us will be stored until you have an Account with us, or until such time as we are providing Services to you, or until it is necessary for the purposes for which the data was collected or to resolve disputes, enforce our agreements, or as required by applicable law. We may also retain information in an anonymous or aggregated form that does not personally identify you.

PINE reserves the right to modify or amend this Privacy Policy at any time. You can check the "Last Updated" legend above to see when this Privacy Policy was last modified.
