We are committed to following and continuously evolving best practices to support this principle. That is why we have written this Privacy Notice (“Notice”). In the Notice you will find answers to who what where and why in relation to the processing of your personal data. This Notice applies to our Website located at https://pine.events/ (“Website”) and to our Pine App (“App”) which you may download from App Store and Google play.
Who we are?
We are PINE Events, Inc. PINE is operated and owned by PINE Events, Inc. (reg. No. 7046468), registered at 160 Greentree DR STE 101, Dover, Kent, Delaware, 19904, USA. In this document, we will refer to ourselves as “PINE”, “Pinetool”, “we” or “us”. We are a data controller when we receive personal data directly from you and we are data processor when we receive data from Organizers. You may contact us via email at firstname.lastname@example.org in case you have any questions in relation to your personal data.
Let us clear things up a bit.
Data controller is a term used in data protection laws to identify a natural or legal person who determines purposes and means of data processing.
Data processor is a term used to identify a natural or legal person who process personal data on behalf of the controller.
When we receive data directly from you we act as a data controller and we process data for our own behalf. When we receive data from Organizers we process data on their behalf.
Alright, with that out of the way, let’s proceed to how we process your personal data.
What data we process, where do we receive it?
We process different kinds of data that may identify you. We receive it from various sources like our Website, our App and from third parties. In this section we will describe the categories of personal data which we process.
Automatically collected data.
You may browse our Website and don’t provide us with any of your personal data. Keep in mind though, when you enter any website on the internet, that website will automatically collect some technical data. In this case our Website is no exception.
We need this data to operate, maintain and improve our Website and App. Such data includes:
- Technical data: device type, device OS, mobile service carrier, mobile device ID, IP address.
- Usage data: paged viewed, screens opened, features used, content viewed, areas of Website and App visited.
Data you give us.
If you want to experience how comfortable and efficient events can be, you can register an account with us. To register your account we will need some of your personal data. Also, you may fill out your profile to make it easier for people on events to get in touch with you. We have two types of user, in this section we will describe data for each.
Is a user who registers an account and attends events hosted via PINE.
- Registration data: Name, email address.
- Profile data: photo, self-description, company, position, phone number, secondary email, messengers (Telegram, Messenger, Viber, WhatsApp Skype, Line), social media (Facebook, LinkedIn, Twitter).
- Education data: school, degree, field of study, start year and end year, grade, description.
- Overview data: industry, interests, skills.
Is a user who organizes and manages event via PINE.
- Registration data: name, job, company name, email address, annual events, event type, number of annual registrations.
- Contact data: phone number.
- Work data: company, position, location, description.
Note: on our Website you may also leave us a message, without prior registration, this data is absolutely optional. Usually our users leave us messages to get help with onboarding.
Also, on our Site you may leave your payment data. However, we want to inform you that we do not collect or store such data. It goes to the payment provider which is connected to our Site.
Data we receive from third parties
There are cases when we can receive Attendee’s personal data not directly, but from other sources. Usually it happens upon registration. For example, if you decide to register an account via Google or Apple, we will use your personal data from those services to prepopulate the registration form. Also, we can get some data from Organizers when they import or integrate their database to PINE. We receive only limited amount of personal data.
Data received from Organizers:
- Google: name, email.
- Apple: name, email.
Data received from Organizers:
- Integration: name, email, company, position, links to social profiles, tags
- Import: name, email, photo, company, company position, links to social profiles, tags
Why do we use your data?
In the course of our operation we have four general reasons for data processing. In this section we will describe why do we need certain categories of personal data and what are our legal grounds for processing.
Provide you with access to Website and App.
When it comes to processing of your personal data we have two main purposes of doing so. First one is providing you with access to our Website and App, so that you can browse it’s pages and see what is displaced in it. The second one is providing you the features of our App and Website, such registration and usage of App or Website. When we process your personal data for the purposes described above we rely on performance of a contract as a legal ground for the processing.
Improve our Website and App.
We may use some of your personal data to improve our Website and App, including: to make analysis and statistics, to develop new products, to enforce our Terms of Service. We rely on legitimate interest as a legal ground for processing, when we use your data for processing activities which does not override your rights and freedoms.
In case you provide us with your consent we will use your data for direct marketing purposes. If we use consent as a legal basis for processing, you will have a choice to opt-out from any processing activity. You may withdraw your consent at any time by sending us an email to us at email@example.com.

We may be obliged by the law to process certain data. If that’s the case we rely on compliance with legal obligations when processing is a statutory requirement.

How do we share and disclose data?
We may share your personal data under the following conditions:
Safety, Legal purposes, and Law enforcement.
We will disclose your personal data to third parties to the extent necessary to:
- comply with a government request, a court order or applicable law;
- defend ourselves against third-party claims;
- assist in fraud prevention or investigation
We will not sell your personal data to any company or organization. However, we may transfer your personal data to a successor entity. In such event, we will notify you before your personal data is transferred and becomes subject to a different privacy statement.
With your consent.
In cases where you have provided your consent, we may share your personal data, as described at the time of consent.
We use third parties for the processing of personal data on our behalf. For example, host, manage and service our data, distribute emails, research, and analysis, etc. When using third-party service providers we enter into agreements that require them to implement appropriate technical and organizational measures to protect your personal data.
The personal data we collect is stored on our AWS servers in Ireland region.
By default, the data is stored in Ireland region, but we may need to process your personal data in another country. If a transfer is required, we will take the necessary data protection measures and ask for your consent.
However, if a data transfer is required to perform the contract and/or to provide you services, we have the right to do so without your consent.
How do we handle your data?
We provide industry-standard physical, electronic, and procedural safeguards to protect personal data we process and maintain. For example, we take reasonable operational and technical measures to limit access to your data. For example, data which we receive is available only to authorized employees.

How can you manage your personal data?
If you would like to access, review, update, rectify, and delete any personal information we hold about you, or exercise any other of your rights such as a right to object or restrict processing and a right to data portability, you can email us to. In case you are unhappy with how we handle your data, you have a right to lodge a complaint with a supervisory authority.
Policy towards minors
We do not knowingly process personal data from anyone under the age of 16. Please, do not register an account with us if you are under 16. If you are a parent or a guardian and your child has given us his/her personal data please contact us at email@example.com, we will delete that data as soon as possible.
If you are from the European Economic Area, you should understand that your personal data may be transferred outside EEA due to the international nature of PINE. We use appropriate safeguards when your personal data is transferred outside EEA.
How do we update this Notice?
Applicable law and our practices change over time. If we decide to update our Privacy Notice, we will post the changes on our Website and in the App. If we materially change the way in which we process your personal data, we will provide you with prior Notice, or where legally required, request your consent prior to implementing such changes.
